How we work

Five commitments built into how we work.

Each one is part of how the operation runs, on every shipment. Read them, then hold us to them.

01Commitment One

Quotes are guaranteed.

Carrier and port charges move with the market. Nothing changes on a shipment you already booked.

Every Dapex quote is guaranteed. Pickup, inland trucking, dock receipt, ocean freight, ISF filing, AES filing, BL fee, export documentation, all itemized, with a validity period. Within that period, the number on the quote is the number on your bill.

The line items split two ways.

i. Dapex charges

Guaranteed by us. Locked for the validity period.

  • Warehouse: receiving, handling, container loading
  • Documentation: ISF, AES, HBL, export docs
  • Dispatch

Once we set your rate, it is guaranteed across your shipments. The quoted amount and the billed amount are the same.

ii. Pass-through charges

Set by carriers, ports, and government. They move with the market.

  • Inland trucking (moves with season, lane, and fuel)
  • Ocean freight
  • Fuel and bunker surcharges
  • Carrier origin port charges
  • Origin THC
  • CBP customs exam, when one is ordered
  • Terminal and other third-party charges

When one of these changes, your account manager tells you the updated rate and the reason before your next booking. The change applies to bookings made after that notice. A shipment already booked runs at the rate in effect when you booked it.

What the quote does not cover

Destination charges are not ours to quote. Local terminal handling, chassis fees, demurrage and detention if clearance is delayed, import duty, VAT, and country certificates (SABER PCoC/SCoC for Saudi Arabia, ECTN where required, Form M and PAAR for Nigeria, ASEZA marking for Aqaba transit). Your clearing agent invoices those at destination.

Why this matters

“Quoted X, billed Y” is the most frequent complaint in this industry. The rate we quote goes into your own numbers. A surprise on the invoice comes out of your margin.

02Commitment Two

Dedicated account manager, start to finish.

Your representative at Dapex, from quote to BL. Direct phone, WhatsApp, and email on every quote and every pre-alert.

Your account manager is assigned on day one. They quote you, own every shipment on your account, and answer WhatsApp during your business hours. Dispatch, the warehouse, the documentation department, the billing department, and the title team do their parts in the background. You deal with one person, and that person works for you: chasing the title, pushing the booking, getting your questions answered.

Why this matters

Every milestone, from auction pickup through sailing, is logged in our system and visible to the whole team. Your account manager owns every shipment for you. One person is accountable for your freight, and the system and paperwork behind them mean nothing is left to memory.

03Commitment Three

Every step is documented.

Receipt photos, the condition report, and every document on the file are posted to MyDapex within one business day.

Three points on every vehicle where we record what we see.

  1. At auction pickup

    Our driver photographs the vehicle at the auction yard from all sides.

  2. At warehouse receipt

    Photos plus a written condition report when the vehicle reaches our facility. The report is available to you in MyDapex.

  3. At container loading

    Photos of the vehicle secured inside the container, once blocked, braced, and sealed.

Alongside the photos, the paperwork: title, bill of sale, AES and ISF filings, HBL, commercial invoice, packing list. Each one is available to you in MyDapex.

You can check the status at any time and raise anything that looks wrong before the vessel sails. If a claim comes up at arrival, the receipt photos and condition report show how the vehicle looked when we received it. Forward them to your consignee as proof of condition.

Why this matters

Damage claims stall on one question: who had the car when it happened. Photos and a written report at every handoff answer it before anyone asks.

04Commitment Four

Fast release of your shipment.

We bill what we quoted. No Dapex extra fees appear without your approval.

When your payment arrives, we authorize release of your cargo right away. Our final bill mirrors your quote.

If a pass-through charge comes up (a carrier surcharge, a port event, a CBP exam), we tell you the source and the reason before it goes on your invoice. If a charge reaches your invoice that you were not told about first, we remove it.

Why this matters

The most expensive trick in this industry is the container held at destination until the customer pays a charge nobody mentioned. We have no destination-side clearing operation, so there is nowhere for that charge to come from. On our side, the invoice is the quote.

05Commitment Five

Proactive approach.

Shipment status is live in MyDapex. When something needs your attention, your account manager reaches you first, with time to make a decision.

Every active shipment updates in real time in MyDapex: pickup, receiving, loading, booking, sailing, arrival. You see the status as it changes, without having to ask.

Some changes need a decision from you. A vessel reroutes and the arrival date moves. Customs pulls a container for an exam. A carrier changes a rate before your next booking. For those, your account manager contacts you as soon as we know, ahead of any deadline, with what changed, what it means for your shipment, and your options. You decide with time on your side.

Why this matters

Changes are part of shipping. What costs money is a decision made late or made for you. With us you make yours early, based on facts.
